BlueJeans Events Integration Guide Follow
BlueJeans is a video conferencing tool known for its simplicity and ease of use when it comes to hosting webinars. Splash connects with BlueJeans to combine a branded registration experience with your preferred virtual venue.
This guide walks through the process of setting up Splash's BlueJeans Events integration.

How the integration works
The integration supports BlueJeans Events, which creates webinars that host guests. A BlueJeans event is created whenever an event is created in Splash. The Splash event's title, end date, start time, end time, and time zone sync to the BlueJeans event. The Splash event owner is automatically assigned as the moderator of the BlueJeans event.
After RSVPing in Splash, guests are synced to the participant list in the BlueJeans event. Guests who attend the BlueJeans event have their status automatically update from Attending to Checked In in Splash.

Note: In instances where a BlueJeans event isn’t created (e.g. an event is created prior to the integration being setup), adding a guest to the event or changing a guest's status for the event triggers the BlueJeans event creation. |

Before you start
There are a few requirements needed to connect Splash to BlueJeans. We've laid them out below.
Requirements
- A paid Splash plan with integrations access.
- An Enterprise BlueJeans Events account.
The integration only supports BlueJeans Events and doesn’t include BlueJeans Meetings. By default, BlueJeans Events doesn’t allow you to view webinars from other team members. - A BlueJeans App Key and Secret.
You must be a BlueJeans Admin to generate an App Key and Secret.
Note: The App Key and Secret are located in Admin > Events > OAuth access > App secret and Admin > Events > OAuth access > App Key. Learn more.
- Matching Splash and BlueJeans user emails.
In order for the integration to be successful, the account setting up the integration in Splash must be the exact same email address with the BlueJeans account.
Installing the BlueJeans integration
Installing the integration consists of three parts: adding the integration, authenticating your BlueJeans account, and configuring your integration settings. All sections need to be completed in order for the integration to run successfully.

We'll start by adding the integration.

Log in to Splash.

Select the Integrations tab in the left-hand navigation panel.
Your account may not have access to this tab. Reach out to your admin if you need help with setup. -
Click New Integration.

Click Choose under BlueJeans Events.
Now we’re ready to authenticate your account.
Authentication
Enter your BlueJeans App Key and Secret in the provided fields. Remember that this was a listed requirement at the beginning of this guide.
You’ll receive an error upon saving if either of these fields are entered incorrectly or are invalid.
Make sure to follow the steps to copy and paste the correct fields to move forward.
Naming the integration and assigning a fallback account
You can choose to rename your integration by typing directly into the Integration Name field or can leave the name as is. We recommend entering a unique integration name if you plan on creating multiple integrations. This allows for easier navigation and organization of your integration suite.
Since BlueJeans requires a moderator for each event, you must assign a fall back email address that has Events access in BlueJeans. This account doesn’t have to match the email that set up the integration in BlueJeans.
The fall back account is set as the main moderator whenever the Splash event owner’s email address doesn’t have BlueJeans Events access. The Splash event owner’s email will be added as a second moderator in these instances. The second moderator has access to start the webinar and full access once the webinar has started, but they’re not able to access or edit the webinar beforehand.

Choosing which actions will trigger the integration
In the Trigger Conditions section, you'll decide what actions will trigger the integration. In the Create Event Trigger field, select Create, Update, or both to indicate if events will be created or updated in BlueJeans.
Selecting Create and Update causes the integration to create a BlueJeans event as well as update the event whenever event settings are updated in Splash.

The Invite Guest Trigger field has RSVP Yes selected by default. This is currently the only trigger that syncs guests from Splash to BlueJeans.
Once your triggers are set, move on to the Trigger Conditions section. These selections are used to limit when the integration will activate. Events can be triggered for specific event types or for specific user groups.
Check off Only trigger for specific event types to select specific Splash event type(s) that should trigger the integration.

Note: When creating an event in Splash, be sure to set the Event Type to match any specific event type(s) selected in this section. Make sure to notify your team members of any specified event types as well. |
Next, check Only trigger for specific groups to select any specific groups that should trigger the integration.
Leaving the boxes unchecked for either section results in the integration creating a BlueJeans event for every Splash event created by any group.

Under Settings, select the guest statuses you want to sync from BlueJeans back to the Splash guest list, along with additional registration settings.

We always recommend having this setting selected to see which guests attended your event.

This setting is optional and is based on your program needs, but is recommended to track the guest duration.

Restrict events to members of your BlueJeans organization
Enabling this setting means that only those with BlueJeans credentials can access the BlueJeans event.
Disable BlueJeans confirmation emails and send webinar join URLs through Splash
By default, BlueJeans automatically sends confirmation emails to all registered guests. Enabling this setting ensures your guests only receive a branded confirmation email from Splash. As an added bonus, this setting also provides each guest with a webinar join URL that's unique to their Splash registration.
The unique webinar join URLs are generated by BlueJeans and pulled into Splash through the [bluejeans_webinar_join_url] tag. Include the [bluejeans_webinar_join_url] tag in your confirmation emails to provide each guest with their unique webinar join URL.

Note: The BlueJeans tag is only compatible with confirmation emails and won’t populate in other emails or in calendar attachments. |
If a webinar join URL isn't found for a guest, the BlueJeans tag will default to the general BlueJeans join URL. If the general join URL isn't found, the BlueJeans tag will direct the guest to the Splash event page.
If you need to access a webinar join URL for a specific guest, send our team a note and we'll send it your way.
Once the setting is enabled, it’ll automatically apply to any new events created. If the setting is left disabled, confirmation emails will continue to automatically send from BlueJeans.

Saving and activating
Save the integration by clicking the On/Off toggle in the top right. To deactivate the integration, click the On/Off toggle again. The toggle turns green when the integration is on and grey when the integration is off.
To delete or duplicate the integration, click the three dots in the top right corner.
Testing the integration
To test if the integration is working properly, follow the steps:

Click New Event from the Events Dashboard.

Create a test event. If an Event Type is specified in the integration settings, be sure to also select it in the create flow.

Once the event is created, confirm the BlueJeans event has been created by checking the Integrations tab within the event settings.

Next, submit a test RSVP to the event using your email address.

Confirm your RSVP has been synced to the BlueJeans event by checking the integration’s Activity Log, opening the event's integration settings, or by checking in BlueJeans directly.
