Creating guides
Q: What must I do to ensure the integration passes my event information?
A: For event data, make sure to fill in the Splash event title, full address (venue name, street, city, zip code, country), and your start and end date. Otherwise, these details may not update to Guidebook if not fully complete in Splash.
Q: Can I use the same emails for my attendees?
A: Although our system allows this, Guidebook identifies guests based on their emails. For each attendee to have their own personalized experience, they will need to register on Splash with their own, unique emails. Note: for your attendee to pass successfully to your Guide, they will need their First Name, Last Name, and Email in our system.
Q: What kind of Splash events cannot use the Guidebook integration and cannot have a Guide?
A: Hub events.
Connections and information exchange
Q: How do we push attendee metadata updates to Guidebook?
A: Guidebook's update APIs are restrictive. One way around this is to update the status of that attendee to not attending then update them back to attending to push the record again. This will not create a second record for the attendee.
Q: Will +1s (plus one’s) be passed to Guidebook?
A: Yes, +1s will be passed with the First Name, Last Name, and Email collected during registration. On Guidebook, they will be treated as an individual attendee.
Q: If I disconnect and reconnect the integration, I now see some attendees and event updates being passed a second time on the activity log. Is this supposed to happen?
A: This is fine. We are just ensuring we pass ALL the event information and attending guests from your Splash event. You will not have duplicate data in Guidebook.
Q: Can my Splash event title, location, start and end date, and times update if I’ve already published my Guide?
A: Yes. Splash will push updates made on your Splash event name, location, start and end dates to your Guide even if it’s already been published.
Guides and Guidebook
Q: Where is the Guide created from my Splash event?
A: You can find it in Guidebook under Build new guides on the top-left navigation. All provisioned Guides not yet used in a Guidebook organization will be in the Build new guides section. Once a guide has been started, it will move from Build new guides to Org guides.
Q: I received the invite to my Guidebook organization, but when I accepted the invite, I do not see the organization or Guides?
A: You may be directed to your personal account, but you can navigate to the organization on the left-hand side via the drop-down menu where your name is located.
Q: Can I release my Guide in my own branded app and Guidebook’s app?
A: Yes! You can select where to publish your Guide and which space(s) to attach it.
Q: Can I release my branded space in my own branded app and Guidebook’s app?
A: No, a branded space maps to only one app. You will need a second space in your organization to have it in another app. Guidebook will be able to add a second space to your organization. Contact Guidebook (support@guidebook.com) to add a second space to your Guidebook organization.
Q: Will duplicating a Splash event also duplicate the Guidebook integration?
A: No, if you want to create a Guide from a duplicated event, you will need to click Create on the Guidebook integration to create a new one. Note - this will consume 1 Guidebook license.
Q: Can the integration be used for both RSVP and ticketed events?
A: Yes!
Q: What if an attendee cancels?
A: We are not removing the attendee from Guidebook. Once it has been passed to Guidebook, it will stay in the Guide. Note - unless this attendee downloads the Guide and signs in, they will not appear under the connect tab so their information will not be visible.
Q: How do I extract the dynamic app link to include it in my Splash emails?
A: Go to Promote within your guide and download the QR or extract the link in the QR code. Insert the QR/link into your Splash emails.
On Chrome you can easily obtain the QR link by right-clicking on the page, click Search images with google, click and drag the selection area to cover the QR code and then copy the URL and paste it in your email (see a demo video here: https://drive.google.com/file/d/1UKXdFYropfq58kUENMfop2iLX9MjgmDv/view?usp=sharing]).
