How do I export my guest list? Follow
This feature is available to Pro and Enterprise plans offering Splash for Business. |
Splash allows the ability to export valuable guest list data at any point of the event cycle. You can export your guest list for a one-time send or use the scheduled guest list export to send recurring guest list updates to your team and company stakeholders.
Note: This feature is only available for RSVP events. |
To export the guest list of your event:
1. Click the Guests tab within the top-level navigation of your event.
2. Click the Export button in the top-right corner.
3. Select the export type you would like to receive.
Depending on your account access, three types of exports can be selected.
Standard Export
The Standard Export option will allow you to receive an immediate CSV export of your current guest list. This can be done on an event-by-event basis, but not in bulk.
To send the Standard Export:
1. Select the option to export visible columns or export all of the columns from your event.
2. Select the columns to export from within the Column Preview section.
3. Add any email addresses that should receive the guest list export.
4. Click Export.
If you are looking for guest list information from multiple events, see the Event Activity in the Reporting tab. Learn more here: What's available with my Reporting Tab's Account Overview dashboard?
Scheduled Export
The Scheduled Export option will allow you to consistently send updated exports of your event guest list to selected recipients. You can send these emails to anyone, regardless of whether or not they have a Splash account.
Note: Scheduled export needs a valid event start date. It will not function with TBD events. |
To send the scheduled export:
1. Enable the Scheduled Export option to activate the export scheduling.
2. Use the Repeat dropdown to schedule the frequency of the export. You can send these reports weekly or daily to your recipient list.
Note: The time for the Daily Export is not adjustable and will always happen at 9 am. |
3. Under the Manage Columns section, select any guest list columns to include in the scheduled export.
4. Select any guest statuses to include in the export within the Manage Filters section.
5. Add any email addresses that should receive the guest list export.
6. Click Save.
- If scheduled exports are enabled for an event with a start date set in the future, the scheduled exports will be sent up until the time the event starts.
- If scheduled exports are enabled for an event with a start date set in the past, only one scheduled export will be sent.
- If scheduled exports are enabled on an event that does not have an event date set, they will be sent for two weeks from the date they were enabled.
Change Report
The Change Report option sends updated exports of your event guest list to selected recipients or all team members to understand what information has changed since the last time they checked the guest list. You can send these emails to anyone regardless of whether or not they have a Splash account.
To send a change report:
- Select the Change Report option.
- Select the Time Range for comparing the changes.
- Select one of the Export Columns option.
- Select the Previous Values option to include previous values for any updated fields.
- Select the Export Format. You can have all results in a single CSV file or select to have multiple CSV files based on each unique response to a question.
- Add the email address(es) of the report recipient(s).
- Click Export.
Reports will be sent to the specified recipients via email containing a link to download a zip file with the report contents.
The report has three tabs: one for each update status of New, Changed, and Removed.
-
New:
- Shows the values of all columns visible in the Guest List. It does not have a Previous column because all values are new.
- This sheet includes any attendees who have moved from any status to Attending.
-
Changed:
- Shows only the values that are different, along with their previous values (if selected for inclusion in the export)
-
Removed:
- Shows only the Previous Status and the Current Status. Attendees who have been removed from the event entirely AND those who do not have a response to the designated question are included here.
