6/21/17 - Insert custom dynamic fields into Splash emails

Work smarter, not harder.
We've all heard that one, right?

Nowadays, that pretty much translates to not doing a bunch of tedious, error-prone manual work when a computer can do it for you.

Today's update — the ability to insert custom, dynamic fields into an email — means you can offer every last one of your attendees a truly personalized invitation while expending nary an extra calorie.

Let's take a closer look!


So, what is a dynamic field?

A dynamic field is any bit of information unique to the person you are emailing.

Some examples:

  • A seating arrangement (Row 1, Seat 2A)
  • An Account Manager (Dale Doback)
  • A one-time discount code (Splash_50)
  • A response to an RSVP question (Kosher meal)

The possibilities are endless.
And all of this info can now be dynamically inserted — recipient by recipient — into your email campaigns. 

When would you use a custom dynamic field?

Custom dynamic fields are best utilized for bulk emailing hyper-personalized invitations.

Example: Let's say you have a list of 500 prospects you need to invite to an upcoming event. To make sure your message garners attention, you'd like the "From" field of each message to be the client's Sales Rep's name.

And for good measure, you also want to pre-assign each client a unique promo code (a little gift) and provide them a seating arrangement. 

Solution: By adding custom dynamic fields into your email, the Splash Email Sender will recognize the Field IDs and replace them with the attendee's information, ensuring all 500 emails are unique to the recipient.

How do you set it up?

Let's run through the above mentioned example: we have a list of clients to whom we need to deliver high-touch, personalized invitations to for a special screening of Citizen Kane.

Step 1: Hop into your event's Form tab and add each custom field you'd like to use onto your RSVP Form as a Hidden Question.

This is the ninja move that allows you to associate custom info to your guests without it actually appearing in the RSVP form.

Step 2: As you're working on your invitation email, pop open the Personalization Tag menu, and find the Tag IDs of your newly created custom fields.

You may already be accustomed to using standard dynamic fields (i.e. [first_name] or [event_title]). This is taking your tag game to a new, custom level.

Step 3: 
Input your custom dynamic field IDs into the message.

In the example below, we want to use a dynamic FROM name (the Sales Rep) and also send each guest a unique promo code and seating assignment.

Step 4: In your guest list file, include labeled columns for each bit of dynamic info you'd like to insert into the message: Discount Code, Seating Arrangement, Sales Rep.

The first contact is highlighted below. Let's use him as an example.

Step 5: 
When you upload your guest list file to Splash, map your spreadsheet columns to the Splash columns, ensuring your custom columns have mates.

Step 6: Fire off your email!

In this example, each recipient will have received a personal message from their Sales Rep; the message also includes a promo code and seating assignment.

That's right - the "from" name of the message can be unique to the recipient. (Take a look back at Step 4 to verify.)

Other prime use-cases:

1. Dynamic confirmations: Follow the above steps, but don't change the RSVP questions to Hidden. Then, insert the custom dynamic fields into your confirmation emails. This provides your attendees a tangible record of the options they chose during registration — great for conferences and getaways!

2. Inviting "handled" VIPs: Ever want to invite a CEO to an event but you only have their assistant's email address? Or better yet, you want to invite a celebrity to your after-party, but you only have their agent's contact info? Custom dynamic fields allow you to deliver a message tailored for your VIPs to the inbox of their handlers.
